Black & Grey HR is hiring a leading company focused on System Integration. With a reputation for excellence and a commitment to sustainability, our client provides cutting-edge lighting systems tailored to their clients diverse needs. As they expand the horizons, our client is seeking an experienced Executive Assistant who will be responsible for a wide variety of secretarial and administrative duties on behalf of the Senior Management Executive of the company.

  • Calendar Management: Efficiently manage the Managing Directors calendar, schedule appointments, prioritize meetings, and resolve scheduling conflicts to ensure optimal time utilization.
  • Travel Arrangements: Plan and coordinate domestic and international travel arrangements, including flights, accommodation, visas, and itineraries.
  • Meeting Coordination: Organize and prepare materials for meetings, conferences, and presentations. Attend meetings as necessary, take minutes, and follow up on action items.
  • Communication: Act as a primary point of contact between the Managing Director and internal/external stakeholders. Draft and proofread emails, reports, and other documents.
  • Document Management: Maintain and organize sensitive documents, contracts, and confidential information in both physical and electronic formats.
  • Prioritization: Assess and prioritize incoming requests, ensuring that urgent matters are addressed promptly.
  • A dministrative Support: Provide general administrative support, such as expense reporting, handling phone calls, and managing office supplies.
  • Project Assistance: Assist in special projects and initiatives as directed by the Managing Director.
  • Confidentiality: Handle confidential information with the highest level of discretion and professionalism.

Requirements- 5+ years of experience as an Executive Assistant or in a similar role supporting top-level executives.

  • Strong organizational and multitasking skills.
  • Exceptional communication and interpersonal abilities.
  • Proficient in MS Office Suite, with the ability to learn company-specific software.
  • Attention to detail and a high degree of confidentiality.
  • Excellent time management and problem-solving skills.
  • Professionalism and the ability to represent the Managing Director and the company effectively.
  • Fluent in Arabic & English
